Refund Policy

Clinical Evaluations & Consultations

Non-Clinical / Ineligibility: If a prospective patient pays an initial evaluation or consultation fee and a licensed medical provider determines the patient is clinically ineligible for Hormone Replacement Therapy (HRT) prior to a prescription being issued, the consultation fee will be refunded in full, less any third-party or diagnostic laboratory fees already incurred or services already rendered.

Completed Encounters: Once a synchronous or asynchronous medical consultation is completed by a licensed medical provider, the professional clinical consultation fee is strictly non-refundable, regardless of whether a prescription is written or received.

Prescription Medications & Pharmacy Orders

Dispensing Protocol: Under federal and state pharmacy compliance laws, compounded and dispensed prescription medications (including HRT therapies such as testosterone, estradiol, progesterone, or related adjunct therapies) cannot be returned, exchanged, or restocked once processed or shipped by our partner pharmacy, Medivera Compounding Pharmacy (Farmington Hills, MI).

Damaged or Lost Shipments: If a medication order arrives visibly damaged, temperature-compromised (for refrigerated formulations), or is deemed lost in transit by the carrier:

The patient must notify Support within 48 hours of carrier delivery with photographic documentation.

We will coordinate directly with Medivera to dispense a no-cost replacement order immediately. Cash refunds are not issued for damaged medication shipments if a replacement is available.

Terms of Service

Independent Clinical Judgment: The platform connects patients with licensed healthcare providers. Providers exercise independent professional medical judgment. Payment for a subscription or medical fee does not guarantee a prescription or specific clinical outcome.

Controlled Substances & State Limitations: HRT programs involving Schedule III substances (e.g., testosterone cypionate) require strict adherence to federal Ryan Haight Act mandates, state telehealth regulations, photo ID verification, and periodic required clinical touchpoints and bloodwork. Service is contingent on valid patient identity verification.

Authorized Pharmacy Fulfillment: All prescriptions generated via the platform are routed and dispensed by licensed partner pharmacies, primarily Medivera Compounding Pharmacy. Patients retain the right to request a prescription transfer to an alternate licensed retail pharmacy of their choice, subject to potential adjustments in self-pay pricing.

Billing Descriptors & Explicit Consent: Cardholders expressly consent to recurring charges under the statement billing descriptor Estrosafe. The descriptor and support telephone line will be clearly communicated in every transactional receipt.

Membership Cancellation Policy

Self-Service Cancellation: Members may cancel their recurring monthly or quarterly HRT membership at any time directly through their Online Patient Portal (Settings > Billing > Cancel Subscription) or by emailing support@estrosafe.com with the subject line “Cancel Membership.”

Cutoff Window: To avoid being billed for an upcoming shipment, cancellation requests must be submitted at least 48 business hours prior to the next scheduled renewal/billing date.

No Long-Term Commitments: Subscriptions are month-to-month (or quarter-to-quarter). There are no multi-month buyout penalties, early termination fees, or phone-call-only cancellation requirements.

Immediate Automated Confirmation: Upon cancellation, the platform automatically generates an email cancellation receipt with a unique confirmation number and immediately halts all subsequent recurring billing schedules.

Consent for Telehealth Consultation

  1. I understand that my health care provider wishes me to engage in a telehealth consultation.
  2. I understand the video conferencing technology that will be used to affect such a consultation will not be the same as a direct client/health care provider visit due to the fact that I will not be in the same room as my provider.
  3. I understand that a telehealth consultation has potential benefits including easier access to care and the convenience of meeting from a location of my choosing in the state of Indiana.
  4. I understand there are potential risks to this technology, including interruptions, unauthorized access, and technical difficulties. I understand that my health care provider or I can discontinue the telehealth consult/visit if it is felt that the videoconferencing connections are not adequate for the situation.

  1. Telehealth by Optimantra is NOT an Emergency Service and in the event of an emergency, I will use a phone to call 911.
  2. Though my provider and I may be in direct, virtual contact through the Telehealth Service, neither Optimantra nor the Telehealth Service provides any medical or healthcare services or advice including, but not limited to, emergency or urgent medical services.
  3. The Telehealth by Optimantra facilitates videoconferencing and is not responsible for the delivery of any healthcare, medical advice or care.
  4. I do not assume that my provider has access to any or all of the technical information in the Telehealth by Optimantra – or that such information is current, accurate or up-to-date. I will not rely on my health care provider to have any of this information in the Telehealth by Optimantra.
  5. To maintain confidentiality, I will not share my telehealth appointment link with anyone unauthorized to attend the appointment.

This Privacy Policy outlines how we collect, use, disclose, and secure your personal information when you visit our Site or interact with our public-facing digital services.

1. HEALTH DATA, HIPAA, & INDIANA COMPLIANCE

This Privacy Policy governs general website visitors and data collected via our public-facing, pre-login site. Any Protected Health Information (“PHI”) or health records you submit during clinical intake, within your patient portal, or to receive medical care is separately governed by federal law under the Health Insurance Portability and Accountability Act (“HIPAA”) and applicable Indiana Code sections on the confidentiality of patient health records. 3. DATA WE COLLECT & OPT-IN CONSENT

We collect standard information (names, emails, payment data) voluntarily provided during inquiry or account creation. Under the Indiana Consumer Data Protection Act (ICDPA), any physical or mental health diagnosis data collected prior to a formal provider-patient relationship constitutes sensitive data. We do not process or collect non-clinical health data or hormone symptom logs through this public site without your prior explicit opt-in consent. [3, 6]

4. SHARING AND SELLING LIMITATIONS

We do not sell, rent, lease, or trade your personal data. We do not share consumer data with third-party advertising companies or social media platforms.
